Instructions to Export Your On-Call Schedule to a Calendar

Whether you're using Google Calendar, Microsoft Outlook, or any other scheduling tool, integrating your on-call schedule into your preferred calendar is a beneficial practice. This process ensures you have a clear overview of when you're expected to be available, aiding in better time management and work-life balance. This article will guide you through the process of exporting your on-call schedule to a calendar using Opsgenie.

 

Understanding On-Call Schedules in Opsgenie

Before beginning the export process, it's crucial to understand how on-call schedules work within Opsgenie. Schedules in Opsgenie are created to determine which users are on-call at what times. They are flexible and can be configured to your team's specific needs, including rotations, overrides, and restrictions.

A schedule consists of rotations, which define the order of the users who are on call. You can manage these schedules and rotations within Opsgenie according to your team's requirements. For detailed information on managing on-call schedules and rotations, refer to the support guide here.

 

Steps to Export Your On-Call Schedule

After understanding what on-call schedules and rotations are, you can follow the steps below to export your on-call schedule to a calendar:

  1. Sign in to Opsgenie: The first step is to sign in to your Opsgenie account. If you don't have one, you'll need to create an account and set up your on-call schedule.

  2. Access Your On-Call Schedule: Once signed in, proceed to the "Teams" page and choose the Team with the schedule you wish to export. Scroll down to the bottom of the Team On-call page to locate the schedule that you wish to export: Export_schedule.png

  3. Export Your Schedule: Once you've located your schedule, you can export it by clicking on the "Export team schedule" button or the “Open calendar” button.

    • If you choose "Export team schedule", a .ics file will be downloaded to your device. This file can be imported into any calendar application that supports the iCalendar format, including Google Calendar and Microsoft Outlook.

    • If you choose "Open calendar", you'll get a URL that you can use to subscribe to your on-call schedule from your preferred calendar application. This option will allow you to export the schedule periodically. By default, this option will export the next 3 months to your calendar, starting from the current month. At the end of the initial 3 months, Opsgenie will automatically keep exporting the next 3 months period from the schedule.

  4. Import or Subscribe to the Schedule in Your Calendar Application: Depending on the method you chose in the previous step, you'll now either import the downloaded .ics file or subscribe using the URL.

For "Export team schedule":

  • Open your calendar application, look for the option to import a new calendar, and import the .ics file.

For "Open calendar":

  • Open your calendar application, look for the option to subscribe to a new calendar, and paste the URL.

 

And that's it! Your on-call schedule from Opsgenie is now integrated into your preferred calendar. Remember to double-check the schedule in your calendar application to ensure it matches the one in Opsgenie. This process ensures that you're always aware of your on-call timings, reducing the risk of missing any critical on-call duties.
